Refund Policy

 

At West Bengal Dental Council, we aim to ensure clarity and transparency regarding fee payments made to the Council. This Refund Policy outlines the terms under which any payments made to the Council may be refunded.


1. General Policy

All payments made to the Council — including but not limited to those for registration, renewal, verification, duplicate certificate issuance, inspection fees, or other statutory services — are considered non-refundable once successfully processed.

These fees are collected as part of administrative and regulatory processes governed by the Dentists Act, 1948, and related rules, and are therefore generally not eligible for refund.


2. Exceptions

Refunds may be considered only under the following limited circumstances:

  • Duplicate Payment: If a candidate or institution accidentally pays the same fee more than once for the same service.

  • Transaction Failure: If a payment is deducted from the payer's account, but the application/service is not generated or acknowledged.

  • Technical Error: If a payment was made due to a system error or glitch without completion of the intended process.

  • Incorrect Fee Paid: If the amount paid is higher than the prescribed fee for the service applied.

In such cases, a written refund request must be submitted within 15 days of the transaction, with valid proof of payment and supporting documents.

The request must include:

  • Name of applicant

  • Registration/Application number

  • Date and mode of payment

  • Reason for refund request

  • Supporting documents (e.g., payment receipt, bank statement)


4. Processing Time

Once a refund request is received and approved, the refund will be processed within 15–30 working days via the original mode of payment or through bank transfer.


5. No Cash Refunds

All refunds, if applicable, will be made electronically. No cash or cheque refunds will be provided under any circumstance.
